Snapture UK Photo Booth Terms and Conditions of Hire 24/09/2013

Terms:


"You" means you the client and your guests.

"Snapture UK" means us the service provider. We operate from 16 Bromley Road, London, N18 1LH

"Booking Form" refers to the online Booking Form contained on our website or any signed and printed version of this form.

Agreement to Online Terms and Conditions

In the event of any conflict, these Terms and Conditions shall be taken as 'those in place' and be taken as those in place over any other wording on our website. These may be changed at the discretion of Snapture UK and must be in place for a minimum of 10 days prior to any event otherwise previous terms and conditions will apply and therefore material to your agreement. Other terms shall only be agreed in writing by Snapture UK.

These Terms and conditions can be accessed on the website at any time. The Terms and Conditions on the website at the time of your event will apply. Any Additional Terms and Conditions added to the website may be done so by Snapture UK.

Terms of Booking:

Booking Form


We require booking forms to be completed and returned by email in order to place the booking. All details stated on the booking form will be taken as given unless Snapture UK are otherwise notified in email or writing.

Payment terms

A minimum 50% non-refundable deposit is required to confirm a booking or if the date is 1 years or more then a 25% non-refundable deposit is required. As soon as the deposit is paid to Snapture UK, we will reserve your requested date. A Final confirmation receipt will be sent upon full payment. A photo booth will only be reserved once payment has been received.

Payment of balance

The full balance of the booking must be paid 56 days prior to the event along with any extra costs that have been added between the payment of the deposit, unless otherwise agreed.

Cancellation

Your deposit is a non refundable deposit however the date can be changed as long as we have been notified a minimum of 3 months from your existing booking date and as long as the new date requested is available.

Day of Event:

Set Up of Booth


Snapture UK will arrive to set up approximately 1hour prior to specified start time of hire. If you require the booth to be set up earlier you will need to notify us up to 7 days before the event. If you would like the booth to be set up prior to your start time and there will be idol hours where the booth is not in use, then there will be an additional charge of £25 per hour. It is up to you to agree with your chosen venue for Snapture UK to be in attendance at the agreed time and location. Snapture UK will be happy to liaise with the venue if requested but a contact name and number/email must be given.

Venue Access and Location

Snapture UK must be provided with the correct address for the chosen venue, it is your responsibility to give this to Snapture UK. You must ensure there will be suitable parking facilities at your chosen venue for the duration of your booking for reasonable access for both loading and unloading of equipment.

Hire Period

The hire period must be stated on the booking form and agreed by both parties from the start. Use of the booth will start at the agreed time and will finish at the agreed time. If for any instance there is a delay in starting on time due to poor access or venue restrictions we will still keep to the agreed period for hire. If your event starts or runs late, our period of hire will still be for the agreed period and time, unless both parties agree to provide additional hours as per an addition charge or to delay our planned start.

Events beyond our Control

Snapture UK will endeavour to attend all events. Where circumstances make this impossible due to, but not limited to adverse weather conditions, Snapture UK will contact you as early as possible and a full refund will be made. Snapture UK reserves the right to cancel any booking.

Traffic Delays or Vehicle Breakdowns

Snapture UK will always try to arrive at the venue for the agreed time. Where circumstances make this difficult due to severe traffic delays or vehicle breakdowns, Snapture UK will extend the end time of the hire to make up for the late start. If this is not possible we will refund you accordingly the amount of time delayed by and in proportion to the amount paid. We will however try our up most to get to your event as soon as we can and always be in contact with you.

Termination of Hire

Snapture UK will not tolerate any abuse or threatening behaviour to any of our staff as well as not tolerating any abuse of the booth or booth equipment. If any behaviour of this nature does occur Snapture UK has the right to terminate the hire immediately. This applies equally to your guests. Snapture UK may also terminate the hire in the case where our staff feel that equipment belonging to Snapture UK or the booth itself is in danger of or is being damaged due to actions of unruly behaviour.

Wherever possible we will speak to you and the venue to try and resolve the matter before any termination is progressed. If we do terminate the contract for any reason the full cost of hire will remain with Snapture UK and we will not issue any refunds for any period of the hire not carried out.

You are fully responsible for any damages caused by you, guests or any other attendees of your event to the booth and the booth equipment.

Props

All prop boxes are set and themed but items may vary.

Technical Problems

If the photo booth is out of use due to technical difficulties, we shall refund you accordingly for the amount of time that the booth has been out of operation and in the proportion to the amount paid for.

Internet

Emails, Facebook & other social media options require an internet connection, an upload speed of 1MB/ is required for these options to run effectively. A wired connection is preferable as upload speeds depend on the connection.

Email Facility

Emails, Facebook & other social media options can run off a Wifi connection as long as the connection is steady and has the recommended speed of 1MB/s.

Facebook & Social Media

Our Facebook & other social media options requires a minimum upload speed of 1MB/s for it to run effectively. Facebook.com & Twitter.com are sometimes affected by technical issues and service disruptions, which cannot be predicted. Therefore we cannot be held responsible, if Facebook.com & Twitter.com experiences technical difficulties as this beyond our control.

Privacy Policy:

Email data capture


Snapture UK will record users email addresses with a picture and other details. The photo booth will state if it is to record your information and will confirm that the information will be stored.

Use of Photos

You agree that all images taken by Snapture UK can be uploaded to the public online web gallery unless otherwise requested and exempt us from responsibility of publishing the images.

Images taken in Snapture UK during events may be used by us to assist with the promotion of Snapture UK unless stated otherwise. This may included printed publications as well as online images. We will not use any pictures that may cause offence or embarrassment to the people in the pictures. We will immediately remove any picture from our website if requested to.

If you choose to have the Facebook upload option you take responsibility of allowing all users to upload any picture to their own Facebook page.

Liability

In all instances Snapture UK will act in what it considers to be the best interest of the client and take steps when required to act to protect the health and safety of people using the booth. Where such actions lead to an early closure of the booth, removal from the service of the booth or any actions likely to cause distress or dissatisfaction, Snapture UK will limit any refunds to the amount of the original booking. This applies to all cases. It in no way will this effect general public liabilities or employers liability insurance matters, which are covered separately.
